Roles, duties and "My work"
The school's work does not have to sit with the Operator alone. Every staff member has one main role (Teacher, Accountant, Receptionist, Principal…) that decides which portal they sign in to. On top of that, the school can give anyone extra duties.
What a duty is
A duty is a piece of office work, for example:
| Duty | What the person can do |
|---|---|
| Fee Collection | Collect fees, print receipts, see dues |
| Admissions Desk | Handle enquiries and admit new students |
| Exam Coordinator | Set up exams and schedules, enter marks |
| Timetable In-charge | Build the timetable and arrange substitutes |
| Attendance In-charge | Mark or correct attendance for any class |
| Certificates & TC | Bonafide certificates, ID cards, TCs |
| Notice Board | Post announcements |
| Gatekeeper | Keep the visitor register |
| Payroll | Prepare and pay salaries |
A teacher who also collects fees keeps the Teacher portal. Fee Management simply appears in their menu under My work.
Giving someone a duty
- Open Roles & Access → Who does what (Director, Operator), or Staff (Operator, Principal).
- Click Edit duties next to the person.
- Tick the duties and save. The person sees the new work within a minute, without signing in again.
You can only give work that you can do yourself. The Principal, for example, cannot hand out fee collection unless the Principal's own role includes it.
Making your own duty
Open Roles & Access → Duties → New duty. Give it a name (for example "Sports In-charge"), a one-line description, and tick what it allows.
Changing what a role may do
Open Roles & Access → Role permissions. Tick or untick boxes for the Principal, Teacher, Accountant, Receptionist and Non-teaching staff, then Save changes. The Director and Operator roles are fixed, so the school can never be locked out.
Where staff find their work
- In their portal's menu, under My work.
- On the My work page, which lists every task their role and duties allow.
