Collecting a fee at the counter
- Fee Collection, then search for the student by name, admission number or the parent's mobile.
- You see what is due, month by month or term by term.
- Enter the amount received and choose the mode: Cash, UPI, Cheque, NEFT or Demand Draft. For anything except cash, add the reference number.
- Collect. A receipt with the school logo, stamp and signature opens, ready to print.
Part payments are fine. The balance stays due and appears on the next visit.

End of the day
Check Overview for today's total by payment mode, and match it with the cash in hand and the bank/UPI statement.
A mistake on a receipt?
Do not collect the fee a second time. Open the student in Fee Collection, find the receipt under Receipts and click Cancel (or Refund for money paid back), with the reason. The Principal approves it from Approvals, and a credit note (CN- / RF- number) is created. The original receipt keeps its number and shows as cancelled. Every step is recorded.
Online payments
When the school has turned on online payments, parents can pay from their own phone. These payments are recorded automatically, so you do not need to enter them.
Reminding parents about dues
Open My work → Fee Management → Reminders. It lists every family with fees due now, overdue ones first.
- Tick families and click Send app reminder to alert them in the parent app (free).
- Or tap WhatsApp next to a family: WhatsApp opens with the message ready, sent from the school's own number.
Parents also get automatic reminders every morning before each due date and while a fee stays unpaid. The school chooses this in Settings → Alerts.
Concessions, late fees and approvals
- A concession you enter goes to the Principal for approval. You will get a notification when it is decided; see My work → Approvals → My requests.
- If the school set a late fee on a fee plan, it appears as a Late fee line on the student's ledger. Collect it like any other line, or click Waive (also approved by the Principal).
Expenses and Tally
Open My work → Expenses & Accounts.
- + Add expense: amount, date, category, who was paid, how (cash / UPI / bank / cheque), and a photo of the bill. It goes to the Principal for approval before it counts.
- Income vs expense shows fees collected against expenses and salaries, month by month.
- Cash book lists every receipt and payment for a day or a range, with an Excel download.
- Tally export gives your CA a file to import into Tally (Gateway of Tally → Import → Transactions). Set your Tally ledger names once on the same screen.
