Library
The library desk runs on any computer, with or without a barcode scanner. The Operator can use it, and so can any staff member given the Librarian duty (Staff & Duties → Duties). The librarian finds it under My work → Library.
First day: set up the catalogue
- Library → Rules. Choose how many days students and staff may keep a book, how many books each may have at once, and the late fine per day with an optional cap per book. If you do not want fines, set the fine to 0.
- Catalogue → ⬆ Import from Excel. Upload your accession register as it is. You need a Title column. Author, Copies, Accession No, ISBN, Publisher, Category, Language, Edition, Shelf and Price are used if present.
- If your register has one line per copy, lines with the same title and author become one book with many copies.
- If a line has no accession number, the next free numbers are given automatically.
- You see a preview first. Nothing is saved until you click Import.
- Or add books one by one: + Add book. Give the number of copies, or type your own accession numbers.
- Print labels. Open a book and click 🏷 Print labels. Each copy gets a barcode label with the school name, title, accession number and shelf. Print on A4 sticker sheets (3 × 8, 70 × 37 mm) or on plain paper, then cut and paste.
Issue a book
- Issue & return tab. On the right, search the student (name or admission number) or staff member.
- Scan the book's barcode, or type its accession number and press Enter.
- Click Issue to …. The due date follows your rules; change it only if needed.
The desk shows how many books the borrower already has and refuses a book over their limit. You can scan several books for the same borrower one after another.
Return a book
Scan the book. The desk shows who has it and, if it is late, the fine so far. Choose:
- Collected now: the fine is paid at the desk.
- Waive: no fine this time.
- Collect later: it stays under Books out → Fines to collect.
Mark the book Damaged or Lost here if needed. It then cannot be issued until you change it back in the Catalogue.
Overdue books
Books out → Overdue lists every late book, with days late and the fine so far. Remind opens WhatsApp with a polite message to the parent, ready to send from the school's number (free). Download the list for Excel if you want to send it to class teachers.
Families also get an app alert the day before a book is due, and once a week while it is overdue. You can switch this off in Rules.
Parents and students
Parents and students see Library in their menu: the books the child has, the date each one is due, any late fine, and the books returned earlier.
Tips
- A USB barcode scanner (about ₹1,500) works like a keyboard: no set-up needed.
- Lost a label? Open the book in the Catalogue and print Label for that one copy.
- Removing an old copy for good: Mark as… → withdrawn. It stays in the history but no longer counts.
